An Introduction To Virtual Assistants

You probably heard from your co-entrepreneurs or in your business circle that they have started working with a Virtual Assistant. But the non-techie person in you is curious and in your mind is asking ‘Who is this Virtual Assistant?’

A Virtual Assistant is a contract worker who provides services to entrepreneurs or even professionals from a home-office or remote location.

Now that you know, the next question you may have is ‘What do these Virtual Assistants do?’ The answer is everything virtual!

You can hire a Virtual Assistant to help with your non-strategic projects or administrative tasks from answering your emails to scheduling your meetings to researching your leads to creating your presentations to a whole lot more.

Still curious? We bet you are. This time you ask ‘When do you need a Virtual Assistant?’ This is a question only you can answer. All we can do is ask you back these questions.

  • Do you spend more than an hour on repetitive tasks everyday?
  • Do you have standard operating procedures in place or very familiar with the back and forth of your business that you can delegate to others?
  • Do you need more time for yourself, friends and family?
  • Do you need help but not on a full-time scale or project-based only?

If you answered YES to any of these questions, you are in need of a Virtual Assistant. This is when We Empower Team can help you on how to get one.

  • Book a free meeting with our Project Managers for a services and rate inquiry.
  • Subscribe to a plan.
  • Complete the Onboarding Requirements checklist and the Non-Disclosure/Services contract.
  • Set up the Onboarding meeting with our Project Manager.
  • Start working with your assigned Virtual Assistant

Now that you got your own Virtual Assistant, how do you work with him/her? Here’s a quick guide.

Set an onboarding period. Your Virtual Assistant is just like any new full-time employee at start. You need to get to know them as they are to you. Don’t expect them to learn like magic everything in your process. Put a week or two in your calendar to orient them on your business.

Use all means of communication virtually. Be open and reachable because they can’t just show up to your office doorstep. Schedule a daily reporting either via a Project Management board or email. Just as long as they know you are checking on them regularly. It is highly suggested you take time to do a video call or phone meeting on a weekly basis. This helps both of you address any concerns or issues regarding the projects.

Document everything. Start with your business process followed by your instructions on projects to performance evaluations. Documentation can either be via email, the project management board, online messaging like Skype or Slack, video recording or calls like Zoom.

Be realistic. Remember that a Virtual Assistant works on different clients, unless you hire them on a full time scale (40 hours weekly Monday to Friday). They have the freedom to push back on timelines as their availability fluctuates.

This is about everything you need to know. But if it may interest you more, here’s the top 3 reasons why more and more are hiring Virtual Assistants.

(1) Save on salary cost. With a Virtual Assistant, you only pay for the hours worked. No vacation or sick leave pays.

(2) Saves you more time especially in routine tasks. If you’re in business then you know that time equates money. Or that you need it for family.

(3) Bridge the skill gap. Get someone who can do tasks you struggle in!

Do yourself a huge favor by looking into getting this much needed help you need to further your business. As we always say, the success of every business depends on the people behind it. We can be the assets you need.
